It adds to the Oneday Privacy Policy, which covers everyone who uses our websites. Where this notice and the Privacy Policy differ, this notice applies to the information described here. It does not cover information about our employees or job applicants, which is handled under separate notices.

3. How we use it
We use advisor information to:
- decide whether to contract you, and manage your contract while you are contracted;
- meet our obligations to the insurers whose products we distribute and to regulators, including on advisor suitability;
- pay commissions, process advances and chargebacks, collect balances, and issue tax slips;
- run Oneday Pro, including lead orders and checkout links;
- monitor compliance, investigate complaints and protect our clients and business;
- communicate with you about your contract, Oneday Pro and our products; and
- improve our services, including using de-identified or aggregated data.
4. Screening and ongoing monitoring
Your consent comes separately. We get a credit report, run a criminal record check, or monitor your credit, licence and E&O status only with the specific consent you give for each. Each criminal record re-check needs a new consent at the time. The consents explain each check in detail.
Who sees screening results. People at Oneday who need them to assess and manage your contract, our screening providers, and other service providers who help us do that. We may also share results, or a summary of them, with the insurers whose products you sell through us, with regulators, and as otherwise required or permitted by law.
Adverse results. If something in a screening result may lead us to refuse, end or restrict your contract, we tell you what it is and where it came from, and give you a chance to respond, as the consents describe. You can also ask the credit reporting agency or police service directly to correct their records.
5. Who we share it with
| Who | Why |
|---|---|
| Your MGA or AGA | If you contract through one, your upline can see your business information on Oneday Pro, such as cases, production, commissions, chargebacks and balances, so they can supervise and support you. They do not see your screening results. |
| Insurers whose products you sell | To appoint you, pay compensation, and meet their requirements, including advisor suitability. |
| Payment providers | To pay commissions and process lead purchases. |
| Clients and the public | Clients see your name, licence and contact details. We may also show this in places like advisor listings. |
| Service providers | Companies that host our systems, verify identity, run screening checks, deliver messages and help us operate Oneday Pro. You can ask our privacy officer which providers we use. |
| Regulators, auditors and authorities | Insurance regulators, our auditors, courts and law enforcement, when the law requires or allows it, including reporting required when a contract ends. |
| A buyer of our business | If we sell or reorganize all or part of our business, under an agreement to protect your information. |
6. Platform activity and monitoring
We may monitor, record, review and keep activity on Oneday Pro for security, quality and compliance. This includes sign-ins, submissions, e-signatures, consents and attestations, and calls, texts, emails and messages sent through Oneday Pro or other Oneday systems. Calls and messages may be handled or transcribed by automated tools, including AI. We use these records to run Oneday Pro, investigate complaints, audit business, respond to insurers and regulators, and enforce our agreements with you.
7. Storage, retention and security
Storage. Some of our service providers process or store information outside Canada, mainly in the United States. There, it may be accessed by courts, law enforcement and national security authorities under that country’s laws.
Retention. We keep advisor information for as long as we need it for the purposes in this notice, including after your contract ends, and as long as legal, regulatory, tax and insurance record-keeping requirements call for. When we no longer need it, we destroy it or de-identify it.
Security. We protect advisor information with safeguards suited to how sensitive it is. Credit and criminal record information gets the strictest access controls.
8. Your rights, changes and contact
Access and correction. You can ask to see the personal information we hold about you and ask us to correct it. We respond within the time the law requires, and may refuse access in the limited cases the law allows.
Withdrawing consent. You can withdraw a consent at any time, subject to legal and contract limits. Withdrawing consent to screening or monitoring may mean we cannot contract you or keep you contracted.
Complaints. Contact our privacy officer first. If you are not satisfied, you can complain to the Office of the Privacy Commissioner of Canada or, in British Columbia or Alberta, to that province’s Information and Privacy Commissioner.
Changes. We may update this notice. We will take reasonable steps to let you know about a significant change, and ask for your consent again where the law requires it.
